Greetings faculty and staff colleagues - 

I’m writing today to provide an update on our two major technology updates taking place this summer.  As you may recall, we are in the process of implementing Google Mail (Gmail) and Zoom phone to replace our existing email and phone systems respectively.  We have been pilot testing the transitions and have a few updates to share with you before we complete the transitions.

Gmail -

This page includes a detailed FAQ section that provides the information that we know up to this point in the process. It’s a living document and will be updated as we have more information.  Those of us who have been a part of the pilot project have found that the transition has been going smoothly.  All current emails and folders have transitioned over seamlessly and all upcoming calendar entries have also made the move.  Once the transition has concluded, the primary access to email from your computer will be through the Gmail web portal; however, if you wish to continue using Outlook, it will be available but will require a small configuration change for each user.  We will provide detailed instructions for this change and our service desk will be available to provide assistance as needed.

Zoom Phone - 

We are currently on track to complete the transition to Zoom phone by the end of the week of August 1st.  This has also been piloted on campus and we have learned a lot through the process.  Leading up to the transition, a TS team member will stop by various offices, reception spaces, and classrooms to remove old phone equipment that is no longer compatible with the new system. We are encouraging most people to use “soft phones” which use the same audio setup you have already been using for Zoom video conferencing.  If you have a need for a physical phone, please contact our service desk to arrange for a replacement phone.
