This page contains information on how to become familiar with the Google Mail web interface.

Accessing Gmail

There are multiple ways to access your Gmail account to use the web interface.

The simplest way is to click on the Google Mail and Google Calendar icons from your apps dashboard at login.pugetsound.edu.

If you are already working in Google Drive, click the apps menu to find Gmail and Calendar.

You may also go to webmail.pugetsound.edu or mail.google.com/a/pugetsound.edu from a web browser and log in with your Puget Sound credentials.

IMPORTANT: if you go to mail.google.com, be sure to enter your full Puget Sound email address (e.g. jlogger@pugetsound.edu). If you are logged in to a personal Gmail account already (e.g. jlogger123@gmail.com), click the circle in the upper right and click Add another account. Enter your username@pugetsound.edu email address, click next, and log in with your Puget Sound credentials. To switch between accounts, click the circle and select which account you would like to use.

Common Configuration Steps

In January 2023 all your mail, contacts, and calendar were migrated from Microsoft Exchange to Google Mail and Calendar. However, you may want to reconfigure some basic settings that did not transfer over.

To manage your Gmail settings, click the settings gear icon in the upper-right corner.

Quick settings to customize your inbox view will be visible. For all other options, click See all settings.

Differences from Exchange

Optional Outlook Configurations

You can configure Google Mail and Calendar with Outlook, but it is not recommended nor will it be supported by the Technology Service Desk.

This section provides instructions on how to set up your university Gmail account on a Windows computer with Microsoft Outlook. Be mindful that certain features of Gmail may not work when utilizing third-party mail clients such as Outlook.

For the best experience, Technology Services recommends accessing Google Mail and Calendar through a web browser like Chrome or Firefox.

Prerequisites

  • An active University of Puget Sound Gmail account
  • A computer running Microsoft Windows 10 or above
  • Microsoft Office 2013 or above installed on your computer
  • Administrator permissions on your computer

Instructions for Configuring Outlook

  1. If Outlook is open, fully close the Outlook application before beginning
  2. Go to https://tools.google.com/dlpage/gssmo and click Download GWSMO
  3. Launch googleappssyncsetup.exe (check your Downloads folder) and install
  4. Enter your Puget Sound email address and click Continue

  5. A browser window should open. Log in with your Puget Sound credentials if prompted.
  6. You may be asked to verify your account. If your Puget Sound email address is displayed, click Continue.

    • If a personal @gmail.com email address is displayed, click I don’t recognize this account and enter your Puget Sound email address instead.

  7. Select your @pugetsound.edu account to proceed.

  8. You will be prompted to allow Google Workspace Sync for Microsoft Outlook to access your Google Account. Click Allow. You should see a message that authorization was granted successfully.

  9. In the setup window, click Create profile.

    • IMPORTANT: do not select the option to import data to avoid duplicate items as Technology Services has imported your existing mail, calendar, and contacts.

    • If you do not see the setup window, look for the GWSMO icon  on your taskbar and click Continue.

  10. You should receive a message that setup is complete. Click Start Microsoft Outlook.

  11. Outlook should create a new mail profile. Click Options and check the box to Set as default profile. Click OK.

  12. Wait for the synchronization to complete. (Note: the synchronization status window will be displayed each time you launch Outlook. If you do not want to see this, uncheck the box "Open this window when Microsoft Outlook starts.")

  13. OPTIONAL: click ^ in the system tray, click the GWSMO icon , then click Set mailbox size limit.

  14. Select the desired size to store on your local computer then click OK. Setting it to "Unlimited" allows offline access to all your mail items in Outlook.

  15. You are ready to start using Outlook with Google Mail and Calendar!

Instructions for Adding Gmail in Outlook for Mac

MICROSOFT’S GUIDE TO ADD A GMAIL ACCOUNT

  1. With the Outlook application open, click on Outlook in the upper-left and select Preferences. In the new window, select Accounts.

    • NOTE: If you have your Microsoft Exchange @pugetsound.edu account listed, select the account and click the minus "" sign to remove it. When prompted, click Sign Out.
  2. In the lower left, click on the plus "+" button and select New Account.

  3. Enter your @pugetsound.edu email address.
  4. If it does not automatically select Gmail, click on Choose the Provider and select Gmail from the list.

  5. Your web browser will open the Puget Sound login page. Log in with your Puget Sound credentials.
  6. Once signed in, select your @pugetsound.edu account.
    • If a personal @gmail.com email address is displayed, click Use another account and enter your Puget Sound email address instead.
  7. Click Allow to grant Outlook permissions to your university Gmail account. Click Open Microsoft Outlook if prompted by your browser.

  8. Once the permissions are granted, it will bring you back to Outlook. Click Done to start using Outlook with Gmail!

Instructions to Enable New Outlook for Calendar Sync

IMPORTANT: It is strongly recommended to use New Outlook in order for calendar syncing to function. You will need Outlook 2019 Version 16.42 Build 20101102 or higher. Click Outlook About Outlook to check your version. Click Help Check for Updates to install pending Microsoft Office updates.

ABOUT NEW OUTLOOK FOR MAC

  1. Look for the "New Outlook" toggle in the upper-right and change it from Off to On.
    • If you do not see this toggle, you may be already using New Outlook or you may need to update Microsoft Office.

  2. Click Open New Outlook when prompted.
    • You may receive the error message below if you have archived items in the "On My Computer" section. Follow these instructions to import your archived items into Gmail. If you do not need your offline mail items stored in "On My Computer," you can safely proceed.

  3. On the next step, click Sync directly with Google.

  4. Follow the prompt to Sign in to Google which will open your browser. Log in with your Puget Sound credentials if prompted.
  5. Select your @pugetsound.edu account, and click Allow.
  6. Once you see the green checkmark, you’re all set! You can start using Outlook with Google Mail and Calendar.
