This page will provide instructions on how to incorporate emails you have archived into Gmail so they are accessible from the Gmail web interface. Archived emails refer to emails you previously moved off the Exchange server and onto your computer. These emails would typically be stored in an Outlook data file (PST file) on Windows or in the "On My Computer" section in Outlook for Mac.

If you are continuing to use Outlook, do not follow these instructions as you will continue to have access to your offline emails within your mail client. See instructions for configuring Outlook on Windows or configuring Outlook on Mac.

Importing Emails from Outlook on Windows

Use the Google Workspace Migration for Microsoft Outlook (GWMMO) tool to import your PST file to Gmail. Please note that this process may be quite time consuming depending on the size of the PST file.

Prerequisites

  • An active University of Puget Sound Gmail account
  • A computer running Microsoft Windows 10 or above
  • Microsoft Office 2013 or above installed on your computer
  • Administrator permissions on your computer

Instructions

  1. Go to https://tools.google.com/dlpage/gsmmo and click Download GWMMO.
  2. Launch OutlookMigrationSetup.exe (check your Downloads folder) and install.
  3. Enter your Puget Sound email address and click Continue.

  4. A browser window should open. Log in with your Puget Sound credentials if prompted.
  5. You may be asked to verify your account. If your Puget Sound email address is displayed, click Continue.

    • If a personal @gmail.com email address is displayed, click I don’t recognize this account and enter your Puget Sound email address instead.

  6. Select your @pugetsound.edu account to proceed.

  7. You will be prompted to allow Google Workspace Sync for Microsoft Outlook to access your Google Account. Click Allow. You should see a message that authorization was granted successfully.

  8. In the setup window, click the dropdown and select From PST File(s).

    • NOTE: Do not import from an Outlook user profile as Technology Services has imported all your existing mail, calendar, and contacts for your @pugetsound.edu mailbox on Microsoft Exchange (Webmail).
  9. Browse to the PST file on your computer (usually located in C:\Users\<your_username>\Documents\Outlook Files). If you have multiple PST files, control-click to select multiple items. Once the correct file is selected, click Open.

  10. Select the option to Migrate all data then click Next.

    • Note: If you are re-running the import for the same PST file due to an incomplete import, use the option to migrate only new data to avoid duplicates.

  11. On the migration settings step, choose criteria for what data you wish to import into Gmail then click Migrate.

  12. When the import is finished, you will see a message that the migration has completed. Click OK then Close.

  13. The imported emails will appear under a separate label in Gmail (usually the name of your PST file). You will no longer need to use Outlook and can simply use the Google Mail and Calendar web interface to send/receive new emails and view previous messages.

Importing Emails from Outlook on Mac

  1. OPTIONAL - create a new label in Gmail for your archived emails.
  2. Look for the "On My Computer" section in the Outlook sidebar.
    1. If you do not see an "On My Computer" section, you may need to revert to legacy Outlook. To do so, click Help then Revert to Legacy Outlook. Click Revert when prompted.

  3. Drag and drop entire folders or selected emails to a label within your @pugetsound.edu account.

    • This will copy your archived emails to Gmail. To move items instead, select Move from the Outlook ribbon, click Other Folder..., then begin typing to select the folder you want to move emails into. Click Move.
  4. Quit Outlook. The imported emails will appear in Gmail. You will no longer need to use Outlook and can simply use the Google Mail and Calendar web interface to send/receive new emails and view previous messages.
