Spirituality, Service, & Social Justice Office Assistant

Hours: 10 hours weekly

Our department includes the Offices of Spirituality, Service & Social Justice; Multicultural Student Services; and Student Activities. The purpose of the department is to provide information, understanding and resources regarding diversity, creating an inclusive campus environment, and providing service to the University of Puget Sound and neighboring communities.

Job Description: The Office Assistant will provide general office support to the Spirituality, Service & Social Justice, Multicultural Student Services, Student Activities staff members. In addition, the Office Assistant will contribute to events management and publicity.

General Office Support

  • Customer service – greeting visitors, answering phones and taking messages, answering questions, providing resources, etc.
  • Making copies, faxing and scanning, delivering and picking up mail, etc.
  • File management
  • Data entry
  • Provide assistance in preparing documents and reports
  • Research projects
  • Basic cleaning of the office, maintaining a professional environment and assisting in restocking the office with necessary supplies
  • Performing other duties as assigned

Events Management & Publicity

  • Creating posters, banners, and other informational pieces about department events.
  • Submitting poster and banner requests to Copy Services and picking them up when completed.
  • Posting publications around campus and taking them down when the event has passed.
  • Sending out invites, maintaining RSVP lists, and reminding those who have RSVP’d about the event.
  • General event support – Setting up tables and chairs, providing assistance to behind-the-scenes crew and guests, etc.
  • Performing other duties as assigned

Qualifications

  • A positive attitude and willingness to perform assigned duties with excellence.
  • Team player.
  • Basic skills with computers and in Microsoft applications, such as Word, Excel, and Publisher.
  • Strong verbal and written communication skills.
  • Degree and understanding of confidentiality required.
  • Prior office experience preferred, but not required.
  • Prior customer service experience preferred, but not required.
  • Events and/or publicity experience preferred, but not required.
