What is the function of Acquisitions?
We order and receive all the materials for the library’s collection including books, music CDs, music scores, periodicals, DVDs, streaming video and electronic resources. We monitor the status of orders to ensure proper receipt and evaluate vendor services. We also provide management with financial reports and statistics.

Why don’t you buy everything from Amazon.com?
The needs of an academic library are not the same as an individual. We contract with vendors to receive services tailored to the needs of our library. These include discounts, invoicing, order status updates, viewing rights, licensing, online account management, and customer service. In addition, our library benefits from cooperative purchasing plans as a member of the Orbis Cascade Alliance (Summit).

Who can request materials for the library?
Faculty may suggest library materials for order at the discretion of the department chair. Students may submit requests through the Collins is Listening link on the main library page.

How do I request a book, DVD, music score or music CD?
Faculty requests may be submitted by way of online forms or via email. Faculty requests may be emailed to the subject liaison librarians or through campus mail, CMB #1021. Faculty may submit marked catalogs and brochures of materials they wish to suggest for purchase to the appropriate liaison.

How do I request the library order a journal?
Requests for new journals can be submitted year round. New subscriptions will be considered during the Periodicals Review Season which begins approximately January 15 each year. Final decisions will be made by the end of spring semester. Selected new titles will begin in the following calendar year.

When can I submit order requests?
Orders may be submitted year round. However, the last day to submit orders for the current fiscal year is March 31. Orders received after this date will be held until funds are released for the new fiscal year on July 1.

Why is there an order deadline?
In order to ensure all funds are spent by the end of the fiscal year, orders and invoices need to be received well in advance of June 30. The March 31 deadline allows time for orders to be shipped by the vendor and invoices to be paid by the university before year’s end.

How long does it take for an order to be processed?
Our goal is to process an order to the vendor within 24-48 business hours of the request. As a large number of orders are received on or near the order deadline of March 31, turnaround times will be affected.

How long does it take to receive an order?
Turnaround time varies by format of the materials ordered and distributor. Average turnaround time is five weeks for books, four weeks for DVDs and music CDs and six weeks for music scores. Electronic materials vary because of license negotiations.

How can I check the status of an order?
You may check SIMON, the library catalog. Or, contact your liaison librarian or the Acquisitions staff at x3240.

Can I request something be RUSH ordered?
Yes. When placing your order please indicate it is a RUSH order and state your “need by” date. Rush orders are for items that are needed sooner than can be obtained through our usual library vendors, as stated above. Rush orders are placed with a supplier within one day and expedited shipping is requested. The increased shipping costs are added to the purchase price, which impacts your library funds. Delivery time can range from one day to three weeks depending on supplier and stock on hand. Once the item is received in the library, it is rushed through cataloging in 24 hours. Circulation will notify you when it is available and hold the item at the desk for check-out.

Can I request an item be held for me when it is received?
If you do not need a request to be RUSH ordered, but would still like to have it held for you upon receipt, we can do this. Please indicate HOLD when submitting your request. Access Services will notify you when it is available and hold the item at the front desk for check-out.

Can I have an item rushed or held for me if someone else has placed the order? 
Yes, contact the Acquisitions staff at x3240 and we will see what we can do. We can have an item RUSH processed after it is received and held for you to check out.

I want to request an item, but I’m concerned you won’t be able to find it. It’s out of print / written in Gaeilge / published in Micronesia. Do you have any chance of filling this order?
Yes, please submit your request. We have a high fill rate and love a challenge. If we’re unable to locate a supplier, we will keep your request on file and notify you of the delay. We will search for an order source on a monthly basis until your request has been filled. If we are unable to fill your request within 12 months, we will return your request to you with an explanation.
