Materials cannot be accepted prior to two weeks before the start of the program. Shipments that arrive prior to two weeks before the beginning of the program will be returned to the sender.
If materials arrive prior to two weeks before the beginning of the program and are accepted by the university, Conference Services will schedule Facilities Services staff to move and store the materials and will charge the sponsoring organization (user) for the labor cost. In addition, a $100 storage fee will charged.
Deliveries should be scheduled to arrive between 8 a.m. and 4 p.m., although with advance notice, other arrangements can be made.
Freight companies must contact the Conference Services office before attempting to make deliveries in order to ensure that the building and room will be unlocked and available. The telephone number for Conference Services is 253.879.3483. This phone is answered 24 hours per day. The driver can dial 3483 from any campus phone upon arrival.
Deliveries will be made at street grade and pass through conventional doorways.
Freight companies must unload the materials and move them into the storage area; no assistance or equipment can be provided. University of Puget Sound Conference Services staff are unable to move materials for legal reasons. If the freight company leaves materials in an unauthorized area, Conference Services will schedule Facilities Services staff to move the materials and will charge the sponsoring organization (user) for the labor cost. Materials must be picked up from the University of Puget Sound by no later than 7 a.m. on the day after the program ends.

Once received, materials will be secured until the shipper arrives. The shipper will be responsible for moving materials from the storage area to their final locations. No staffing or equipment is available to assist in moving materials.
At the end of the program, if you or any of your participants or vendors wish to have packages picked up by commercial carriers, you are responsible for packing and sealing your own containers. Packages should be moved by program personnel (not university staff) to an area designated by Conference Services and must be picked up by the commercial carriers according to the above deadlines.
Packages not picked up within the allotted time frame will be moved into storage. The group will be charged a $100 storage fee in addition to any labor costs incurred. If the university is required to handle materials for any other reason, the $100 fee will also apply.

If shippers choose to dispose of their cardboard packaging on campus, they must use the university 's recycling program which requires that all boxes be broken down flat. An area to store cardboard until it can be picked up by the university recycling coordinators will be identified. All other packaging material must be removed from the site by the vendor or group and includes non-paper material such as bubble packaging or styrofoam "peanuts."
