Online Employment Referral/Agreement Information

As part of the campus-wide effort to improve the effectiveness and efficiency of our processes and systems, various aspects of student referrals, payroll, and timekeeping are currently undergoing transition. As the new system emerges, so will the documentation on this page. Please watch your email for updates.

The following information is expected to be accurate through early 2013.

Supervisors have web access to information about the status of all students who have been referred or are currently employed in a job they supervise. Employment Referrals/Agreements for student staff members are incorporated into the time entry system on Cascade Web, and students and supervisors access and "sign" the agreement online.

You also have access to the details of the job assignment, the "Student Employment Responsibilities," and the "Supervisor Responsibilities and Resources."

Online Employment Referral/Agreements for Student Employees

When our office refers new students to jobs you supervise, they will be instructed to contact you right away to arrange an interview. To start, log into Cascade Web and select "Student Employment Time Entry" from the menu. You will be able to see an "Employment Agreements to Approve" link on the Student Employment Time Entry Menu. You will also receive an email to notify you of any new online job assignments requiring action. If the student listed will not be working in a job, you or the student may "Decline" (inactivate) the job assignment. You will also be able to view the status of the student's employment authorization forms--you will be able to see if they do not have a current I-9 and W-4 form, and whether the student has "signed" the employment agreement.

You will then be able to view the job assignment details and status of earnings for current student staff members by clicking the "Employee Status" link on the Student Employment Time Entry Menu page.

W-4 and I-9 Forms

Completed W-4 forms are returned to Career and Employment Services (CES). Supervisors complete the employer section of the I-9 form before it is returned to CES. Students must complete these forms before they begin working in a campus job.
